The Bouse genealogy club is in full swing. We are welcoming back our winter visitors as well as all others that are interested in learning about or continuing in the pursuit of your ancestors. Our meetings are open to all who wish to attend. We have modified our regular meeting schedule to meet the needs of those who work. We meet in the Bouse Community Building which is right next to the Bouse Public Library on Plomosa Road, Bouse, AZ.

Hi All:

What a great first meeting we had!!! First, I would like to thank everyone who attended and to let the rest of you know what is going on. Attending were: Carol Brown, Roberta Willis, Dennis Chapman, Gloria Freeman; Nikki Mackey; Betty Munfrada; Pat Bales; Vicki Kuehn; Mark Cox and Elieen Lundsford.

I, Carol Brown, acted in the position of Chairman for this meeting. It was held at my home and we had 11 people attend. We broke at 12:00 noon for a potluck salad luncheon (which was great BTW).

The following is base on the agenda list and not on the order in which the items were discussed.

Meetings:

Based on the number of new members this year it was determined that there was no way we could meet at members homes as we did last year, so we elected to meet in the building beside the library (where we held the genealogy classes last year). FYI - we will have heat in the winter and AC in the warmer days. We won’t have to freeze to death this year.

We will continue to meet every other Friday. The next meeting will be Friday, October 5, 2007. Do to a prior commitment for the building, we will have to meet at the Community Center. Roberta will schedule that for us.

Meeting dates are: October 5 & 19; November 8 & 30 (we miss a week because of Thanksgiving - I goofed); December 8 (Thursday - the room is taken for the 9th) & 21; January 4 & 18; February 8 & 22; March 7 & 21; April 4 & 18; May 2 & 16. This list will be in the newsletters (Bouse Genies and Bouse Community) each month and will be posted in the library. Meeting time will be 10:00 am - noon. (Now you all know how we held to the noon time frame last year. Some ran over so expect them to do so this year as well.

We have so many members now that we need to do some real planning on our fun luncheon day. We may have to make reservation somewhere.

Membership:

The forms were accepted as shown. Membership cards were issued to the new members. We collected $100 in dues today. Betty Gilbert sent in her dues, but made the check out to the Bouse Genies and since we don’t have a bank account we had to return it. Other paying by check made it out to me and I will deposit the checks and I gave the cash to the group.

Dues, finances and payment to Bouse Public Library

The dues were set at $10.00 per year for individual and $15.00 per year for family living in one household.

We will keep monies from dues and other income taken in by the Bouse Genies, not associated with the library, in our own treasury. At the end of the season we can elect to turn it over to the library to be held for us in their account and to pay for Ancestry.com

Ancestry.com - We need to pay back the money that the library loaned to us for Ancestry.com which is $321. We can use money from the genealogy classes, computer classes and other donations taken in at the library to help pay for Ancestry.com. We need to review this situation at the first of the new year to see how we are doing. We also need to plan for next years payment.

Late in the day it was suggested that now that the library does not have to pay for their Internet connection (the county is paying for it) maybe we should ask the Friends of the Bouse Public Library to pay half the annual cost and we will pay the other half. If we get in a bind, we could also ask some of the local businesses to help us with a donation.

I, Carol Brown, suggested that we have a booth in the Founders Day celebration and we can advertise the group, and collect donations. Also I have agreed to sell my books at the booth and to donate $1 from each book sale to the Ancestry cost. Mark has agreed to make a family tree background poster for the booth. I have contacted the Bouse Chamber of Commerce to try to get us an inside booth for the event which is November 10th. I have not heard from them yet.

Logo

Roberta showed us the new logo and it looks great (thanks Roberta). She will forward a copy it to me and one to Dennis. Dennis will resize it to a small .JPG format so it will fit on small cards and I will make new membership cards. I will add the logo to all documents and the newsletter. I will forward it to you when I get it.

Officers

Since so few of the original members were here, we decided to use volunteers as interim officers until we can vote on our officers at the November meeting.

Constitution & By-Laws
I will have an updated document by next meeting.

Changes:

Article 4 Section 2 - Dues shall be paid annually, the first of October.

Article 5 Section 1 - Meeting will be every other Friday starting in late September through May (as determined by the membership each year)

Article 7 Section 1 Line 1 - Following the newsletter editor should be the Webmaster. ( I forgot about him in a couple of places.)

Article 8 Section 1 - This will be reworded to allow us to have a Secretary/treasurer and/or to combine or separate the duties of the secretary into a recording secretary and a corresponding secretary. This should cover all of our bases for later changes. I need to try to work on the wording.

Article 8 Sections 4-5-6 will have to be reworked to reflect the change in Article 8 Section 1.

Article 8 Section 6 - The Treasurer shall report to the general membership at least monthly in season. Article 8 Section 8 - Add info for Web masters duties.

Article 10 Section 5 - Need to add documents for the webmaster and newsletter editor. Article 11 Section 1 - At least 7 members in good standing are present.

Article 12 Section 1 - At least 7 members in good standing are present

Memorandum of Agreement with the Friends of the Bouse Public Library

Item 2 - add the word Public - “Friends of the Bouse Public Library”

Item 3 Line 4 ...until such time as the administration of the library or the Bouse Genies chooses to have them removed.

Item 4 - first line co-operation.

Item 4 - second line replace Bouse residents with La Paz County residents.

Add - Item 7 - add information on how the library will handle documentation for accessing Ancestry.com and other online sites that use the computer IP address and not a password for access on the libraries computers which the Bouse Genies finances or helps finance.

Add - Item 8 - Add information about what happens to website access like Ancestry.com if the Bouse Genies (who paid for it or helped pay for it) can’t afford to pay for the annual access fee.

I have agreed to work with Nikki to get this agreement finalized ASAP. We are hoping to submit the Agreement of Understanding to the Friends of the Bouse Library at their next meeting.

Genealogy Classes (also the Computer Classes)

I will be working with Nikki at the library to set the dates for the genealogy and computer classes for this coming season. At this time it looks like they will start in December and will each run 10 classes each so they will go into February. I will notify all of you exactly when the classes will be. This season the genealogy class will only be given once a week, not twice a week as they were last year. Right now it looks like the Genealogy class will be on Thursday and the Computer Class on Wednesday. The classes will start at 9:30 am. They will he held in the same buildings as last year.

This was discussed off and on throughout the day so is covered in the above items.

Other Business

Webmaster

We had a long discussion on the website and what Dennis can do. It was decided that he will look into getting us a Yahoo Group set up - for members only - where each of us can send a message to the group and it will appear in our e-mail in boxes as an ordinary e-mail. We will not have to send it to each member. It will be automatic. If you have not used a Yahoo Group before I am sure you will find it to your liking. That way you don’t need everyone’s e-mail address on your computer to send them all a message.

Dennis or I will send you instructions on what you have to do to get a Yahoo account (it’s free). Once you have one you be linked to as many group as you like. We will also provide the instructions on how to get added to the Bouse Genies Yahoo Group. This should be soon.

Right now our website in a web page off of Dennis’s personal website. Dennis is working on moving us to another website which will be ours alone. He is really working - I have heard from him 3 time since the meeting. He has found a place which will be free which is easy to use and it looks like it will be right for us. We will let you know when he gets it ready. He also says it will be easy for someone else to take over if we have to.

Notice in the local newsletter

Since our Corresponding Secretary is not here I will get an article up this week to be placed in the Bouse Community Newsletter. Pat S. told me there was no problem waiting until after this meeting to send him something, but I need to do it soon. We need all of the advertisement we can get.

Vikki will have the regular minutes of the meeting, which will vary from this as I have taken the items as a whole and mixed them up some and not as they occurred. She may also remember something I missed.

Officers & Policies and Procedures.
 
We were discussing the officer positions and how to pass data on to the new officers when there is a turnover. I am currently writing the general Policies and Procedures and they should be completed for first review by the next meeting.
 
In conjunction with those, we will need individual instructions for each elected position and all committee heads, as well as the newsletter editor and webmaster positions. The individual instructions should be very detailed. Of course things will change and the instructions my not be followed exactly by the new officer or volunteer, however these will give the new person something to build upon when taking over.
 
It was suggested that we purchase an orange binder for each position. That we place in each binder a copy of all of the pertinent documents for the organization in all binders and then the individual positions instructions for how to take over the job in the appropriate binder.  The documents within the binders should be enclosed in plastic sleeves.
 
Bouse Genies Colors
 
We had a very short discussion on the colors for the Bouse Genies. I have been using Orange and Green in the letterhead and newsletter as our predominant colors and everyone agreed that the colors are good and we should adopt them. Which we did.
 
The Friends of the Bouse Public Library has chosen purple as their most predominant color, and they have their officers keeping all of their records pertaining to the organization in purple folders, I started using orange folders for my Bouse Genies documents and it was decided that we will continue this for the rest of the group. Therefore, the color of the officers binders will be orange and it was suggested that the members use orange folders for all Bouse Genies documents. This method makes it very easy for each member to know exactly which folders will contain the Bouse Genies documents they wish to maintain.
 
I will make cover insert pages for the binders with the new logo and titled for each position.
